Reports to            :Chief Medical Officer

 

JOB SUMMARY

To provide high-level strategic and operational support to the Executive Team by managing priorities, coordinating cross-functional initiatives, and enabling effective decision-making. This role ensures the Executive Office operates with efficiency, alignment, and impact across the organization.

REQUIREMENTS

Minimum Qualifications

  • Bachelor’s degree in business administration, Health Management or a related field

Minimum Experience

  • Minimum of 10 years’ experience in an Executive Assistant or senior strategic, operational, or advisory role—preferably within healthcare, consulting, or corporate strategy
  • Proven experience working closely with C-suite executives in a complex, multi-stakeholder environment.
  • Strong understanding of the South African healthcare landscape and regulatory environment

DELIVERABLES

  • Proactively manage and coordinate the executives’ calendars, ensuring alignment with strategic priorities and optimal time management.
  • Schedule and organize meetings, including preparing agendas, coordinating logistics, and ensuring all necessary materials are available
  • Draft high-quality reports, presentations, and correspondence on behalf of the Executives, ensuring alignment with organizational tone and strategy
  • Manage internal and external communications, ensuring timely and effective dissemination of key messages
  • Lead or support special projects and strategic initiatives from inception to completion, including planning, execution, and reporting
  • Track progress on key organizational goals and initiatives, providing regular updates and identifying risks or delays
  • Implement systems for document management, meeting preparation, and follow-up to ensure seamless executive operations
  • Investigate and understand stakeholders needs to enable delivery of a quality service
  • Ensure timeous resolution of stakeholder queries and complaints and take ownership of issues
  • Identify and participate in planned activities that are appropriate for own development
  • Explore and highlight opportunities for cost reduction - make recommendations on the most cost-effective way to perform work and to streamline processes
  • Analyze information to identify trends, discrepancies and inconsistencies for decision-making purposes; generate required reports
  • Prepare, review, and quality-check briefing packs, presentations, and reports for executive engagements
  • Ensure all materials are accurate, well-formatted, and delivered in advance of meetings
  • Maintain a repository of strategic documents and ensure version control
  • Organize and manage executive files (electronic and physical), records, and documentation in compliance with governance and data protection standards
